SIGN UP! Wellness ("SIGN UP! Wellness," "we," "us," or "our") is a health and wellness coaching brand and mobile application operated by 307 Service Experience, LLC, a limited liability company doing business as SIGN UP! Wellness.
This Privacy Policy explains how we collect, use, share, and protect your personal information when you visit our website at signupforwellness.com (the "Website"), use the SIGN UP! Wellness mobile application (the "App"), engage with our advertising on Meta platforms (Facebook and Instagram) or other channels, book or participate in our coaching services, or otherwise interact with us.
By using our Website, App, or services, you agree to the collection and use of your information in accordance with this Policy. If you do not agree with this Policy, please do not use our Website, App, or services.

SIGN UP! Wellness offers health and wellness coaching, including one-on-one coaching, group masterminds, digital courses, and the SIGN UP! Wellness mobile application. Our flagship six-week program, Burnout to Breakthrough, is designed for purpose-driven founders, executives, and leaders.
2. Important Notice About Coaching Services
SIGN UP! Wellness provides health and wellness coaching services, which are educational and motivational in nature. Our coaching services are NOT medical care, mental health therapy, psychological treatment, or any form of licensed clinical services. Eric L Cox is a National Board Certified Health and Wellness Coach; he is not a licensed physician, therapist, dietitian, or mental health professional.
Because we are not a covered entity under the Health Insurance Portability and Accountability Act ("HIPAA"), the information you share with us during coaching is not protected by HIPAA. However, we treat all sensitive personal information you share with us in confidence and apply the safeguards described in this Policy to protect it.
If you are experiencing a medical or mental health emergency, please contact your physician, call 911, or contact the 988 Suicide and Crisis Lifeline immediately.
3. Information We Collect
We collect information from you in several ways, depending on how you interact with us. The categories below explain what we collect and how.
3.1 Information You Provide Directly
You may provide information to us when you:

Fill out a contact form or lead form on our Website or through a Facebook/Instagram lead ad

3.2 Information Collected Automatically
When you visit our Website or use our App, we and our third-party service providers may automatically collect certain information about your device and how you interact with our services. This may include:

We do not currently run third-party analytics tools on our Website. When we add analytics or advertising tracking in the future — such as Meta Pixel (Facebook and Instagram) or Google Analytics — we will disclose them in this Policy and update the Effective Date at the top.
3.3 Information From Lead Ads and Advertising Platforms
When you complete a lead form through a Facebook or Instagram advertisement, Meta collects the information you submit (typically name, email, phone number, and answers to any qualifying questions) and shares it with us so that we can contact you to book a clarity call or send information you requested. Meta's own privacy practices govern the collection of this data at the source; see facebook.com/policy.php for their Data Policy.
If we run advertisements on Google, TikTok, LinkedIn, or other platforms in the future, similar data flows may apply and we will update this Policy.
3.4 Information From Coaching Sessions
One-on-one coaching sessions and group mastermind sessions are conducted via Zoom or a similar video conferencing platform. With your consent, we record these sessions for the following purposes:

To share the recording with the participants who attended the session for personal review and reflection

To allow Eric L Cox to review and prepare for follow-up sessions

To identify themes and improvements for our coaching methodology (recordings are not shared publicly for this purpose)
Recordings may include your video image, voice, name, and any content you share during the session (verbal, chat, or screen-share). We will inform you at the start of each recorded session that recording is in progress, and Zoom's built-in "recording in progress" indicator will also be visible.
If you do not consent to a session being recorded, please tell us at or before the session begins and we will not record it, or we will stop the recording. If you consented to a recording but later want it deleted, contact us using the details in Section 15.
4. How We Use Your Information
We use the information we collect for the following purposes:

We share your information only in the limited ways described below. We do not sell your personal information.
5.1 Service Providers
We share information with third-party service providers who help us operate our business. These providers are bound by contract or their own privacy policies to protect your information and use it only for the services they provide to us. Our current service providers include:

Passion.io — hosts and operates the SIGN UP! Wellness mobile App on our behalf. Passion.io processes App user data, community messages, tracking data, and payment information for App subscriptions. See passion.io/privacy-policy.

Calendly (or similar scheduling platform) — used to book clarity calls and coaching sessions. See calendly.com/privacy.

Email marketing platforms (such as Mailchimp, ConvertKit, or Kit) — used to send you our newsletter and program updates if you have opted in.

Meta Platforms (Facebook and Instagram) — used to run lead ads and, in the future, to install the Meta Pixel for ad measurement and retargeting on our Website.

Google (Google Analytics, Google Ads, Google Workspace) — may be used in the future for Website analytics, advertising, and business email.
5.2 With Your Consent
We may share your information with third parties when you give us explicit permission — for example, if you ask us to introduce you to another coach, connect you with a peer for accountability, or feature your testimonial in our marketing materials.
5.3 Legal Compliance and Protection
We may disclose your information if required to do so by law, subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
5.4 Business Transfers
If SIGN UP! Wellness is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify you (via email or a prominent notice on our Website) before your information becomes subject to a different privacy policy.

Our Website may use cookies and similar technologies to store session information, remember your preferences, and understand how you interact with our site. Cookies are small text files placed on your device.

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you additional rights, including the right to know what personal information we collect, disclose, or sell about you; the right to request deletion of your personal information; the right to opt out of the sale or sharing of your personal information (we do not sell your information); and the right not to be discriminated against for exercising these rights.

7.3 European Union and United Kingdom Residents (GDPR / UK GDPR)
If you are located in the European Union, United Kingdom, or European Economic Area, you have rights under the General Data Protection Regulation (GDPR) and UK GDPR, including access, rectification, erasure, restriction of processing, data portability, and objection to processing. You also have the right to lodge a complaint with a supervisory authority in your country of residence.
Our legal basis for processing your personal information depends on the context: we rely on your consent for marketing communications and session recordings; on contract performance for delivering coaching services you have booked; on legitimate interests for improving our services and communicating with prospective clients; and on legal obligation for accounting and tax purposes.
8. How Long We Keep Your Information
We retain your personal information for as long as we need it to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:

Lead form and inquiry data — kept for up to 24 months after your last interaction with us, then deleted, unless you become a client

Coaching client records — kept for the duration of our engagement plus 7 years after your last session, to comply with accounting, tax, and legal requirements

Session recordings — kept for up to 12 months after the session, unless you request earlier deletion or you request longer retention for your personal reference

Newsletter and marketing subscriber data — kept until you unsubscribe, plus a short suppression list to honor your unsubscribe preference

App user data — retained according to Passion.io's platform policies while your App account is active, plus reasonable backups

Payment records — retained as required by law (typically 7 years for tax and audit purposes)
9. How We Protect Your Information
We take reasonable technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, and destruction. These measures include encrypted data transmission (HTTPS/TLS), password-protected accounts, two-factor authentication where available, secure payment processing through PCI-compliant providers, and access controls that limit who inside our organization can view your data.
However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security. If we become aware of a security breach that affects your personal information, we will notify you as required by applicable law.
10. Children's Privacy
Our Website, App, and services are intended for adults 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If you are under 18, please do not use our Website or App, and do not submit personal information to us.
